Write a usable FM scope

A useful service scope describes the space, the task and the responsibility. It should be specific enough for both the site team and the service team to use.

Bright shared office interior

Start with the space

Record occupied areas, operating hours, access restrictions and activities that cannot be interrupted. A meeting room and a plant room may share a building, but they do not share the same service conditions.

Define the work

Describe tasks and frequencies in observable terms. Separate planned maintenance from reactive requests, and identify what sits outside the agreed scope.

Make ownership visible

Name the function that requests work, the function that authorizes it and the function that records completion. Agree how exceptions move to the right decision-maker.

Bring these questions into your next service conversation. The right process depends on the site, the people and the responsibilities agreed for the engagement.
